25th Anniversary Event Volunteering


Volunteering at our 25th Anniversary Event

Thank you for being here. This celebration is an important event for Embercombe and your willingness to consider volunteering in support of making it an enjoyable, safe and successful event is very much appreciated.

We have put together the information below to help you prepare and to make volunteering the most rewarding experience it can be for you. Please read it carefully and let us know in case there is anything you don’t understand, or you can’t commit to.

Intentions

The primary intention of the volunteering team is to prepare and care for the environment in which the event guests celebrate this special occasion. It is also our intention for you to have fun, feel you have given mindful and intentional service and that you have been part of a volunteer community that is highly valued by Embercombe.

Types of Volunteers

There will be two types of volunteers for this event:

  • Weekend Volunteers will help out from the morning of Friday 26th April to the afternoon of Sunday 28th April. We are looking for 12 people for this team.
  • Event Volunteers will help out all day on Saturday 27th April only. We are looking for 8 people for this team.

Weekend Volunteers

Arrival & Departure:

  • Arrive after 4pm on Thursday 25th April, having eaten (no food will be provided on Thursday evening)
  • Remain onsite until departure at around 4pm on Sunday 28th April

Schedule:

Thursday: Arrival, setting up camp, gathering and checking-in as a team
Friday: Opening ceremony, preparing the site
Saturday: Supporting activities and the general running of the event
Sunday: Tidying the site, closing ceremony and departure

Tasks Will Include:

  • Site Preparation
  • Cleaning and Beautifying Spaces
  • Tending Fires
  • Managing Guest Food Area
  • Managing Volunteer Food Area
  • Marshalling

Important Information:

  • Weekend volunteers are strongly advised to camp and will have a designated volunteer camping area together in the Well Field
  • You will be given a free camping pitch (bring your own tent) and parking space for the duration
  • All drinks (tea, coffee, water) will be provided
  • Breakfast (porridge) will be provided each morning
  • Friday lunch, Friday dinner and Sunday lunch will be provided – This will be freshly prepared soup and bread.
  • We will not be providing free lunch or dinner on Saturday.
  • Volunteers can choose to bring their own food with them, to pre-purchase an Embercombe Soup ticket OR purchase their meals from the food vans, the same as the guests, for Saturday lunch and dinner.
  • You will not be able to bring friends & family during the setting-up and taking-down (Thursday, Friday & Sunday), but they can of course attend Friday evening to Sunday morning along with other guests.

Event Volunteers

Arrival & Departure:

  • Arrive between 7pm on Friday 26th April and 7am on Saturday 27th April ready for Volunteer Team Breakfast
  • Depart after 7pm on Saturday 27th April. May stay until the morning of 28th April if needed.

Tasks Will Include:

  • Supporting the Leaders of activities taking place during the event
  • Activities will include ceremony preparations, rewilding / woodland activities and maintenance.
  • Marshalling

Important Information:

  • Event Volunteers are strongly advised to camp

Transport

You will need to coordinate and meet the cost of your own travel to and from Embercombe. A WhatsApp group will be set up to aid coordination of lift sharing etc.

What To Bring

Volunteers will need to plan for a typical stay at Embercombe and all that usually entails in terms of camping equipment, clothing, boots, keeping warm, wet weather preparedness, etc.

Please note volunteers:

  • Will need to bring their own crockery, cutlery, drinking water bottles, flasks, etc.
  • Are invited to bring snacks (biscuits, tray-bakes, chocolate) to share amongst the team.
  • Are encouraged to bring a high vis vest / jacket if they have one (they will be expected to wear this when working to help staff, guests, caterers and other volunteers find / identify them).
